The Problem With Practice Management Software for Managing Documents
Legal Practice Management software is great for time tracking, billing and calendaring, but often falls short when it comes to managing documents.
Not Meant for Managing Documents
We love Legal Practice Management software. It helps law firms track time, stay on top of their cases, invoice clients and manage their calendar.
But Practice Management Software isn’t well-suited for managing a firm’s documents and email.
Many Practice Management applications offer limited or bare-bones tools for documents and email, including:
The ability to link outside documents (that live elsewhere, such as your file server) to a matter
The ability to upload and store documents within a matter (like Dropbox or other basic cloud storage services)
For some law firms, that’s all that is needed. But many law firms need more sophisticated capabilities when it comes to managing their firm’s documents and email. Many firms need features like:
The ability to organize documents with folders
The ability to edit without re-uploading each document
Automatic document OCR
The ability to tag and profile each document
Unique Document ID's for each document
The ability to assign permissions on matters and folders
Email Management with Outlook integration
We’ve personally talked to dozens of firms that jumped into a particular practice management solution, like the time/billing/calendaring functions but realized that, despite the software’s website listing “document management” as a feature, doesn’t actually include much in the way of document management functionality (apart from being a place to put documents). Don’t make this mistake–if your firm needs document management software, consider getting an actual DMS in addition to (or in some cases, instead of) practice management software.
